In compliance with the Personal Data Protection Regulation and in accordance with the General Data Protection Regulation (EU) 2016/679 of 27 April (hereinafter, "GDPR"), and with Organic Law 3/2018, of 5 December, on the Protection of Personal Data and guarantee of digital rights ("LOPDGDD"), AUTOPILOT TECH, SL (operating under the trade name "PIPER") informs you about the relevant aspects of the processing of your personal data as a user of the website and of the Piper applications, including the Piper mobile app.

2. Requirements for providing us with your personal data
Minimum age: You must be at least 14 years old and/or have sufficient legal capacity to use this website.
Veracity: Guarantees that the information is real, current, and belongs to you. You must also keep it updated.
Checks: PIPER reserves the right to verify age and identity at any time.
3. When do we collect your data?
Through forms on the web (contact, recruitment, waiting list, employment).
By creating an account with Microsoft or Google.
When you use the Piper mobile app, including when you record audio (see section 4 bis).

4. What information does Piper access from her email account?
Profile (full name and public photo).
Calendar (view, edit and create events).
Email (viewing, composing and sending emails).
4 bis. Piper mobile app
This section applies when you use the Piper mobile app for Android and iOS, published by AUTOPILOT TECH, SL.
Microphone permission: the app asks for access to your device's microphone so that it can record conversations. You can refuse or revoke this permission at any time in your device settings; without it, recording is not available.
What we record and when: the app records audio only when you start a recording, and stops when you stop it. An indicator is shown while recording is active. The app does not record in the background without your action. You are responsible for informing the other participants and obtaining their consent where the law requires it.
Data processed: the audio recording, its transcription, and the notes, summaries and CRM fields that Piper generates from it, linked to your Piper account.
How we process it: audio is sent over an encrypted connection to our servers and stored in the European Union. It is transcribed and analysed with artificial intelligence by specialised providers acting as our data processors. They process the data only on our instructions, under data processing agreements. Neither Piper nor these providers use your recordings or transcripts to train AI models. We do not sell your data or use it for advertising.
Usage analytics and diagnostics: the app collects usage events, crash reports and diagnostic data, including a device identifier and session replays in which all text and images are masked. We use service providers such as Mixpanel and Sentry for this, acting as our data processors. This data is linked only to a pseudonymous identifier, not to your name or email address, and is used solely to understand how the app is used and to fix errors, never for advertising.
Retention and deletion: we keep recordings, transcripts and generated content while your account is active. You can delete any recording or transcription from the app or the web platform at any time, and it is permanently removed from our systems. You can request deletion of your account and all associated data by writing to legal@piperai.com.
5. Purposes and legal bases of the processing
We process your data for the following purposes:
Inquiries, complaints, and claims: managing and resolving communications received. Legal basis: consent, performance of a contract, or compliance with legal obligations.
Commercial information: sending promotional communications after you subscribe. Legal basis: consent.
Contracting services: managing the contractual relationship. Legal basis: contract performance.
User account creation: identification and access to functionalities. Legal basis: contract execution.
Recording, transcription and analysis of conversations: recording audio at your request, transcribing it and generating notes, summaries and CRM updates. Legal basis: contract performance.
Employment: analyzing applications and managing selection processes. Legal basis: consent or pre-contractual measures.
Legal compliance: fulfilling legal obligations, court orders, and competent authorities. Legal basis: compliance with legal obligations.
6. How long do we keep your data?
The data will be kept for the time necessary for the stated purposes. – Account or services: for the duration of the relationship. – CV: during the selection process or, in the case of unsolicited applications, for one year. After these periods, the information will be blocked to comply with statutes of limitations and to defend against claims.
7. Who do we share your data with?
Public administrations with a legal obligation.
Competent authorities and security forces.
Partners and service providers (with data processing agreements).
Transcription and artificial intelligence providers that process audio and transcripts on our behalf (see section 4 bis).
PIPER authorized employees and collaborators.
8. International Transfers
Some providers are located outside the EEA. These transfers comply with appropriate safeguards: Standard Contractual Clauses (SCCs) or certification under the EU-U.S. Data Privacy Framework (DPF).

10. Modifications
We will use your information in accordance with the Policy in effect at the time of collection. If we make changes that affect the processing, we will notify you.
11. Security and confidentiality
The security of your data is our top priority. PIPER implements technical and organizational measures to ensure its integrity and prevent unauthorized access. However, due to the nature of the internet, absolute security cannot be guaranteed. In the event of a security breach, we will act diligently and notify you.
